The potential time value exceeds the assumed first-year costs. This is not a cash saving or a forecast.

Method and assumptions

230 working days per year. Annual search hours = people × daily search minutes ÷ 60 × 230. Recovered hours = search hours × recovery percentage. Time value = recovered hours × hourly staff cost.

The default 20 minutes and 40% recovery are illustrative, not measured results. The £4,000 setup is an entry planning figure; £2,000 in annual software and support cost is an editable assumption, not a quote. Include all licences, usage, hosting and support you expect to pay. Costs exclude VAT. First-year difference also subtracts the setup fee.

Most recently the in-house AI specialist at Nature Heart, a 25-person ecommerce company, where he shipped more than ten internal AI tools for day-to-day operations. The people you meet on the call are the people who build and hand over your system.

Before we start.

Is this a good fit for our team?

It fits teams that repeatedly search for answers in support policies, onboarding material or internal instructions. You need useful source documents and someone who can check the answers. If an existing tool already solves the job, we'll recommend using it.

What happens on the discovery call?

We spend 30 minutes on the job, the people doing it and the tools you use. You'll get a recommendation and a next step. If a project makes sense, we check the sources and access requirements before preparing a fixed-scope proposal.

What does the starting price include?

From £4,000 covers a bounded setup in a suitable existing tool, agreed source preparation, testing and handover. Document limits and acceptance criteria are written into the proposal. Dedicated systems are quoted separately. All prices exclude VAT. Third-party licences, hosting and usage are separate costs.

How long does a setup take?

A straightforward existing-tool setup can take around a week once the sources, access and scope are ready. Document cleanup, integrations or a dedicated build take longer. We agree the timetable before work starts.

Can we keep the system if we stop working together?

Yes. You receive the agreed code, configuration and documentation. Reusable tooling is licensed to you permanently. Third-party software keeps its own licence terms and ongoing costs. Your accounts and documents stay under your control.

Where does our data go?

We agree the providers, access rules and data handling before connecting your documents. Provider retention and training settings depend on the chosen tools and plan. We don't use your data to train our own models or resell it.

What if an answer is wrong or missing?

We test representative questions against your source material and include questions the assistant should decline. We document the limits at handover. Your team should check the cited source before acting on important answers.

Do you train our team and maintain the system?

Training on the delivered system is included in handover. Extra working sessions, monitoring, fixes and improvements can be scoped separately. You can also maintain it internally or use your IT provider.

Do you build other software?

Yes, we take on suitable custom internal tools and workflow projects. Useful Apply and Useful Voice show the wider product work we've shipped. We deliver remotely in English, on European business hours.
